🛠️ Work Order Page — Rebuilt From the Ground Up
The work order page has been significantly updated to make managing service and repair work faster, clearer, and more consistent with how rental orders work throughout Quipli. This release applies to both internal work orders (your own fleet) and customer-owned (external) work orders.
Changes that apply to all work orders
A cleaner, more organized layout The page has been redesigned with clearly grouped sections, making it easier to scan and act on a work order whether you're at a desk or on your phone. Information that was previously scattered or hard to find is now organized the same way as the rest of Quipli.
Reorganized action buttons All primary actions are now consistently placed at the top right of the page:
- Edit Order — enters edit mode to update fields on the work order
- More Actions — a dropdown containing Cancel Order and Delete Order
- Set Status — a context-aware dropdown that shows only the transitions that make sense for where the work order currently is:
- Not Started → Mark as In Progress, Mark as On Hold
- In Progress → Mark as Complete, Mark as On Hold
- On Hold → Mark as In Progress, Mark as Complete
- Once a work order is completed or cancelled, Set Status is no longer shown
On mobile, secondary actions are consolidated into an overflow menu to keep the interface usable on smaller screens.
More fields are now editable Clicking Edit Order now unlocks the fields you actually need to change mid-job. Fields now editable on all work orders include:
- Work Start and Work End dates and times
- Location
- Mechanic
- Work Type
- PO Number
Order Notes (formerly "Customer Notes") What was previously labeled "Customer Notes" at the order level has been renamed Order Notes to distinguish it from customer-level notes. Order notes display on the invoice and can be edited at any time without clicking Edit Order.
Activity section — photos and notes in one place The Activity section has been rebuilt to support richer job documentation:
- Upload multiple photos at once in a single action
- Images display inline as thumbnails with options to preview (opens full size in a new tab), download, or delete
- Notes and photos posted together display cleanly without layout issues
Latest Note column on the Work Orders list A Latest Note column has been restored to the Work Orders list view so you can see recent activity across all work orders without opening each one.
Custom line items on work orders You can now add custom products or line items to a work order, similar to how custom items work on rental orders. When selecting "Custom" in the Add Part or Service modal, the available fields vary by work order type (see below).
Updated equipment ownership terminology When creating a work order, the equipment ownership options have been renamed for clarity:
- Internal (previously "Fleet")
- Customer-owned (previously "Customer")
Changes that apply to customer-owned work orders only
Customer Information and Customer Notes now visible on the page Customer-owned work orders now display a Customer Information section showing the renter's contact and account details — the same way it appears on rental orders. A Customer Notes section appears below it, surfacing any notes attached to that customer's record.
Download and print invoices A Print / Download button is now available at the top of every customer-owned work order, at all statuses. Use it to save or print the work order invoice to share with the customer or keep for your records.
Tax breakdown in Order Summary The Order Summary section now shows a full subtotal and tax breakdown, matching the format used on rental orders. You can also update the Tax Code directly from the work order page without needing to make changes elsewhere. Tax Code is now an editable field when in Edit Order mode.

Changes that apply to internal work orders only
Equipment details now visible on the page A collapsible Show equipment details section now appears on internal work orders. When expanded, it shows the serial or unit number, make, model, and year of the machine being serviced — giving technicians the context they need without navigating away.
Machine hours logged at start and end Hours logged when the work order was started and completed are now displayed directly on the internal work order view.
Custom line items — available fields Name, Unit Price, Quantity, Description
🔧 Bug Fixes & Improvements
Vendor phone numbers starting with 1800 now display correctly. When editing a vendor with a toll-free number starting with 1800, the full number now appears in the edit field. Previously only the last four digits were shown, though the number itself was saved correctly.
Purchase order "Process" button no longer appears on fully received orders. When a purchase order containing only custom items was fully received, the Process button remained visible and accessible. It now correctly disappears once the PO has been fully received.
