Getting set up to use the QR code feature
1. Turn on the ‘QR Code Feature’ - Super Admin Setting
a. SETTINGS > General Settings > Options > Checkout > QR Code Feature
b. Click ‘Yes’
2. Assign QR Codes to inventory units
a. INVENTORY > Products > Actions (click the pencil icon to edit) > Product Units
b. Video Demonstration: How to download a full sheet of QR Codes & associate a unique code per unit.
c. You can download and print up to 35 QR codes per sheet. It will look something like the example below. The larger the QR code, the fewer will be printed at each time. Every time you generate more codes, they will pick up where you left off last time you downloaded codes. Any time you add new inventory you can simply stick on a QR code that you’ve already printed (or print a new code) and then associate the code with the unit by following step d.
d. Once you’ve printed the QR codes, keep track of which QR Code you adhere to each unit to by "editing" the unit within the admin console. Type the number of the QR code assigned to the unit here:
e. Adhere the barcode either using clear packing tape or print the QR codes onto sticker paper. Make sure it is on a flat and clean surface. Only one code per product unit.
f. You’ve now successfully paired your unit to a unique QR code! Make sure to click SAVE CHANGES on your product page in Quipli!
Customer Flow: Starting a rental & assigning a unit
Note: Please be sure your Admin users open & login to the Quipli Admin Console on their designated ipads every day prior to the start of their shift. You should have 1 ipad that is customer facing and 1 that is internal use only (this is the ipad that you will use to scan orders & inventory).
1. Customer places an order online: They can either do this at home on their personal device, or in-store with an associate using a customer-facing ipad.
2. Upon submission, customer will see this screen with a unique QR code for their order. They will also receive an email confirmation with a copy of this code.
3. The order will be submitted to the Quipli Admin Console as a pending request.
4. Once the customer is ready to begin their rental, they’ll show their unique QR code to an admin associate.
a. On the admin logged in device (internal use only, approved ipad) you can now scan their QR code and begin the flow.
b. Admin user can either open the Admin Console app orders page and click the "Scan QR" button (screenshot below) or open the device’s mobile camera to scan the code.
c. Scanning the customer’s code will open the order view specific to this customer’s order request. Select "Generate my digital signature".
d. Find the ‘SCAN UNIT’ button mid-way down the order page and click on that to assign the correct product unit to the customer’s order.
e. This will launch the ipad’s mobile camera - hold the camera still, hovering over the QR code of the preferred unit. Or you can manually add the QR code.
f. Once you successfully assign that product unit to the customer’s order, it will appear in this box. Select "Submit".
g. Once you complete step f above, you will successfully assign a unit using the Scan QR code feature, it will automatically approve the order, move the order ON RENT and it will charge the customer’s credit card.
h. Your customer can now walk away with their rental!
Customer Return Inventory Flow
1. Your customer is ready to return their rented inventory. Your first step is to scan the customer’s QR code from their contract or order email.
a. You can scan the unit QR code either by opening your mobile camera on a signed-in device OR by going to the "Manage Orders" page in the Quipli admin console and clicking the white "Scan QR" button.
b. By doing so, this will open the order that the unit is assigned to.
i. Best Practice tip: Confirm the customer’s name matches the customer assigned to this order. This is a good place to confirm the inventory was assigned to the right order!
c. If the customer details match and you’re ready to end the rental, click the "OFF RENT" button to the right of the order page.
d. "OFF RENT" popup pages will appear. This is where you can capture a late charge, if applicable.
e. Congratulations! You’ve successfully completed a customer rental flow using the QR code inventory management feature. The customer can now leave and you can move on to your next task. This unit is now returned to inventory.
